We may collect information directly from parents, guardians, coaches, managers, authorized team representatives, players, website users, event participants, payment processors, registration platforms, website forms, scheduling tools, email marketing tools, service providers, scouts, schools, event staff or other individuals involved in event administration.
Registration by Parents, Coaches and Managers
RUSH Hockey registrations are intended to be completed by parents, legal guardians, coaches, managers or authorized team representatives only. Players who are Minors should not independently register. If a coach, manager or team representative submits information about a Player or team, that person confirms that they have authority to provide the information and obtain required consents.
Optional Social Media Handles
RUSH Hockey may ask for player social media handles on an optional basis. Social media handles may be used to support player evaluation, recruitment, showcase promotion, player profile opportunities or event‑related communications where applicable. Providing social media handles is optional and is not required for general registration unless clearly stated for a specific program.
How We Use Personal Information
RUSH Hockey may use personal information to process registrations, create rosters and schedules, manage tournaments and showcases, communicate event information, process payments and invoices, support emergency response and safety, verify participation, support player development opportunities, manage contact form inquiries, schedule calls, administer mentorship sign‑ups, share limited information with scouts or schools where appropriate, send required event communications, send optional marketing communications with consent, improve our website, manage business records and comply with legal, insurance, accounting and operational requirements.
Email Communications, Newsletter Consent and Email Service Providers
RUSH Hockey may send required event communications, including registration confirmations, tournament information, schedule changes, payment notices, safety information and other service‑related messages. These communications are necessary for participation. RUSH Hockey may also send newsletters, future event announcements, showcase opportunities, promotions and marketing communications. Newsletter and marketing communications should be based on a separate optional consent box, and recipients may unsubscribe at any time. RUSH Hockey may use third‑party email marketing and communication platforms, including Mailchimp and/or Constant Contact, to send newsletters, event announcements, showcase opportunities, marketing communications and other optional promotional content. If you subscribe to receive these communications, your contact information and communication preferences may be processed and stored by the applicable provider in accordance with their privacy practices.
Contact Forms, Zapier and Communications Workflows
Information submitted through website contact forms may be transferred through integration tools such as Zapier to support communications, inquiry management, email routing and administrative workflows. If the contact form connects to an email marketing or email service provider, that provider should be included in this Privacy Policy. This draft includes Mailchimp and Constant Contact as potential email service providers.
Photos, Videos and Event Media
RUSH Hockey events may be photographed, filmed, livestreamed or otherwise recorded. Photos, videos, livestream content, game footage, highlight clips, testimonials, player profiles and related media may be used for event operations, player showcases, website content, social media, newsletters, promotional materials, internal review, training or communications with scouts, schools, coaches or approved hockey development personnel. When a Player is a Minor, RUSH Hockey may rely on parent, guardian, coach, manager or authorized representative for consent, waiver language, media consent language or other applicable permissions.
Sharing Information with Scouts, Schools and College Coaches
As part of RUSH Hockey’s showcase, tournament, mentorship and player development activities, RUSH Hockey may share limited Player information with college coaches, scouts, recruiters, schools, educational institutions, coaches or approved hockey development personnel when relevant to player evaluation, recruitment, educational opportunities or player advancement. Academic information such as GPA will only be shared when it has been provided by the participant or registrant and is relevant to the requested recruitment, scholarship, educational or player advancement opportunity. RUSH Hockey does not routinely provide participant information to sponsors, advertisers or commercial partners. Information may be shared when requested by a college coach, scout, school or recruiter and when RUSH Hockey determines the request is appropriate.
Third‑party Service Providers
RUSH Hockey may use third‑party service providers to support website hosting, registration management, data collection, payment processing, scheduling, spam prevention, analytics, communications, email marketing, integrations, event administration and business operations. Current known or potential providers include SiteGround, Airtable, Smartsheet, Google Forms, Google Analytics, Google reCAPTCHA, Zapier, Stripe, YouCanBook.me, Mailchimp and Constant Contact. These providers may process or store personal information on behalf of RUSH Hockey as required to provide their services. Additional third‑party tools may be added from time‑to‑time and this Privacy Policy will be updated as needed.
Google Analytics, Google reCAPTCHA and Cookies
RUSH Hockey may use cookies, analytics tools and similar technologies to understand how users interact with the website, improve website performance, monitor website traffic, support security and prevent spam or automated submissions. RUSH Hockey uses Google Analytics for website analytics and Google reCAPTCHA to help protect website forms from spam and abuse. Use of Google tools may be subject to Google’s Privacy Policy and terms. Users may be able to disable cookies through browser settings, although doing so may affect website functionality.
No Advertising Pixels or Retargeting Confirmed
RUSH Hockey currently does not use Meta Pixel or Google Ads based on the information confirmed for this draft. If advertising pixels, remarketing tags or similar tools are added later, this Privacy Policy will be updated before or at the time those tools are used.
Payments
RUSH Hockey may process or receive payments through Stripe, e‑transfer or invoice‑based payment. Invoices may be sent to coaches, managers, teams, individual parents or guardians. When Stripe is used, payment information is processed by Stripe and subject to Stripe’s privacy practices. RUSH Hockey does not intend to store full credit card details directly.

Retention of Personal Information
RUSH Hockey maintains participant registration records, player participation history, showcase records, event history and related records on an ongoing basis to support historical recordkeeping, showcase history, player development tracking, alumni history, event administration, legal obligations, insurance requirements and business operations. For certain categories of information, including emergency contact information, health information, payment records, waivers and consent records, RUSH Hockey may retain information for as long as reasonably necessary to fulfill legal, operational, insurance, safety and business requirements. RUSH Hockey will periodically review its retention practices, especially for sensitive health and emergency information.
Safeguards
RUSH Hockey uses reasonable physical, administrative and technical safeguards to protect personal information against unauthorized access, collection, use, disclosure, alteration, loss or destruction. Access to sensitive information, including health information and emergency contact information, will be limited to authorized RUSH Hockey personnel and service providers who need access for event, safety, legal or operational purposes.

You may contact RUSH Hockey to request access to, correction of, or deletion of personal information that RUSH Hockey holds about you or a Minor under your care, subject to legal, operational, safety, insurance, accounting, waiver, dispute resolution and recordkeeping limits. RUSH Hockey may need to verify your identity before processing a request.
Privacy Breaches
If RUSH Hockey becomes aware of a privacy breach involving personal information under its control, RUSH Hockey will take reasonable steps to assess, contain, investigate and respond to the breach. When required by applicable law, RUSH Hockey will notify affected individuals, regulators or other parties.
